Description

All applicants are required to personally submit their Schengen visa application on their scheduled appointment date.

Applicants who plan to visit the Schengen Area solely for tourism purposes, such as leisure, recreation, or sightseeing, and will arrange their own accommodation (hotel, hostel, B&B, camping, etc.), should apply as tourists.

Eligibility

To be eligible for submitting a Schengen visa application, applicants must meet the following criteria:

  1. Possess a valid travel document and a valid UK residence permit.
  2. If the applicant holds a short-stay visa for the UK (C-type visa), they must apply for a Schengen visa from their country of residence.
  3. Apply for a short-term Schengen visa to France for purposes such as tourism (including minors), private visits, business, study/conference/seminar, EEA/EU and Swiss national family members, or other short-stay purposes.

Documents Required

The list of documents provided below is not exhaustive, and the customer may be asked to provide additional information or documents if requested by the Mission.

Both the standard and supporting documentation must be recent, not older than one month, and must be provided for every Schengen visa application.

Applicants are required to bring and present their original documents, but they only need to submit photocopies unless specified otherwise.

Before gathering the required documents mentioned below, applicants are advised to carefully review the requirements under the Overview section to ensure eligibility for the chosen visa category.

  1. Visa application form (original)
  2. Passport (original) – A signed passport with at least two blank pages for visa purposes. It must be valid for at least 90 days beyond the return date of the trip to the Schengen Area and should have been issued within the last 10 years on the day of departure from the Schengen Area.

Note: An extended passport may still be valid, but if it is older than 10 years, it is no longer acceptable. In such cases, the customer must first apply for a new passport.

UK Residence Permit (Original and Photocopy)
To ensure a smooth entry into the Schengen Area, it is essential that your UK Residence Permit, whether endorsed in your passport or issued as a Biometrics card, remains valid for a minimum of 90 days (about 3 months) beyond your planned return date. Please note that a C-type visitor visa will not be accepted.

Photograph (original) One recent color photograph, not more than 6 months old, on white or off-white background.

Proof of Occupation

Employer Letter: This letter should be original and recent, dated within the past month. It should be on company letterhead and addressed to the Mission, clearly stating the name and position of the signee. The letter should confirm your duration of employment, business relations with the German company, the purpose of your travel, the duration of your business trip(s), and if applicable, a guarantee to cover all travel expenses, including travel health insurance.

Self-Employment Letter: If you are self-employed, you need to provide an original letter, also recent and dated within the past month. This letter should be on the letterhead and addressed to the Mission, clearly stating the name and position of the signee. The letter should confirm your self-employment status. If applicable, this letter can be obtained from your accountant or HM Revenue & Customs. In addition, you must submit your business bank account statements for the past three months, and a recent accountant letter stating your yearly income can be provided.

Invitation Letter

A recent official invitation letter in PDF format signed and printed on the official letterhead of our esteemed business partner in Germany confirming the nature of the business, the purpose of the trip, the duration of business trip(s), and, if applicable, confirm the willingness to cover the expenses associated with the travel and stay.

If the visit is to a conference, we ask that the invitation letter explicitly mentions this too.

Proof of funds (if the company is not covering expenses):

– Provide the latest three months’ UK current account bank statements, clearly showing the applicant’s name, address, and an end balance. These statements should be dated within the last month of the visa application submission date. The balance must reflect a minimum of £40 per day for the duration of the stay in the Schengen area. Online bank account printouts are also acceptable. Please ensure that the bank statements are no older than five days.

– Additionally, the amount must cover the cost of tickets and accommodation if they are not already paid for.

– Travelers’ cheques are also an acceptable form of proof of funds, provided they cover a minimum of £40 per day for the duration of the stay in the Schengen area. These cheques must be signed by the applicant.

Proof of travel (airplane, train, boat, coach, car):
This includes confirmed return travel tickets that clearly state the applicant’s name and travel dates to and from the Schengen Area. If the travel is within Schengen countries, it is necessary to provide travel tickets as evidence.

Only documents from travel agents are not accepted for air travel.
If traveling by car, ferry tickets must be provided as proof of travel.

While filing a complete application does not guarantee visa approval, it is advisable to book a fully refundable return ticket. This ensures flexibility in case the visa is not granted.

Proof of accommodation (If the company is not covering accommodation):

– A confirmed accommodation reservation (hotel, hostel, camping, etc.) that clearly states the applicant’s name, travel dates, and accommodation address details. If the applicant’s name is not mentioned on the reservation, a joint travel confirmation letter must be provided. This letter should be signed and dated by the person whose name is on the reservation. Additionally, a photocopy of that person’s passport/ID card and passport signature page should be included if the signature is not on the passport’s bio page. In the case of a group reservation, a list containing all group members’ names will be required. The group members’ names may also be mentioned on the travel ticket.

All-risk medical travel insurance:

The insurance must be issued in either the UK or Germany and display the applicant’s name. It is essential that the insurance remains valid throughout the entire territory of the Schengen Area and covers the entire duration of the applicant’s intended stay. The minimum coverage for medical emergencies and repatriation, including a clause for such cases, must amount to €30,000.

Photo Specification

Please submit one current color portrait of yourself that is no older than six months that satisfies the conditions listed below:

  • Captured on a light background (white or off-white) to make features stand out and contrast with the background.
  • Face-focused and of high clarity
  • Full face: not grinning, no sunglasses, no hats or other head coverings, unless the applicant is wearing them due to his or her ethnicity or religion.
  • Printed from a camera print on standard photographic paper.
  • The photo that is adhered to the visa application form

The visa application will be deemed incomplete if the submitted photos don’t fulfill these specifications (see examples here), and the applicant will be asked to take fresh pictures in the photo booth at the visa application center.

Application Forms

To apply for a visa, applicants must complete an online visa application form known as the Visa Application Form (VAF). It is important to note that the application form cannot be filled out by hand.

To begin the application process, each applicant must duly complete and print the online Schengen visa application form by following these steps:

  1. Click on the Schengen Visa Application form link provided in PDF format.
  2. Fill out the online visa application form accurately, ensuring that the information matches the details on your passport.
  3. Go to the Menu bar and select “File.”
  4. Choose the “Print” option and confirm the printing process.

Once the online Schengen visa application form has been printed, the applicant must proceed with the remaining steps:

  1. Sign the completed visa application form in the designated places, specifically the first signature at number 37 and the second signature right below the disclaimer at the end of the VAF.
  2. On the day of your appointment, bring the signed visa application form along with the necessary supporting documents.

It is important to emphasize that hand-filled applications will no longer be accepted at the visa application center. Therefore, it is crucial to schedule an appointment and adhere to the online application process.

Processing time

Customers are advised to submit their Schengen visa applications up to six months before their intended travel date to the Schengen Area.

Please take note of the following:

The processing time for applications starts only upon the Embassy receiving the required documents.

To ensure a smooth process, applications must be submitted at least 15 calendar days before the intended travel date (as mentioned above) and can be submitted up to six months in advance. Failure to adhere to these deadlines may result in the Embassy deeming your application inadmissible. In such cases, your visa application will not be processed, and your passport will be promptly returned to you.

On average, the visa processing time is 15 calendar days. However, in certain instances where additional scrutiny of the application is necessary and/or when it is referred to the German Immigration Service, this period may be extended up to the requirement.
