Description

All applicants, including children and infants, must personally submit their Schengen visa application on their scheduled appointment date. Appointments can be booked online.

Applicants who plan to visit and stay with family or friends who are legally residing in Slovenia must apply for a Visitor Family/Friend visa.

Eligibility:

To be eligible to submit a Schengen visa application, the applicant must meet the following criteria:

– Possess a valid passport or travel document.
– Hold a valid UK residence permit. If the applicant holds a short-stay visa for the UK (C type visa), they must apply for a Schengen visa from their country of residence.

Personal Data Protection Information

Personal data is processed for visa applications in administrative procedures conducted by the competent embassy or consulate-general of the Republic of Slovenia.

Your personal data, including photographs and fingerprints where applicable, are mandatory components of a visa application. Failure to provide the requested personal data may result in your application being deemed inadmissible or rejected.

The legal basis for processing personal data is provided by Regulation (EC) No 810/2009 of the European Parliament and of the Council of 13 July 2009, which establishes a Community Code on Visas (Visa Code), and Regulation (EC) No 767/2008 of the European Parliament and of the Council of 9 July 2008, which concerns the Visa Information System (VIS) and the exchange of data between Member States on short-stay visas (VIS Regulation).

You are entitled to request access to, as well as the correction, deletion, or restriction of personal data held by the Ministry of Foreign Affairs of the Republic of Slovenia. Additionally, you have the right to object to the processing of such data, including the right to data portability, in accordance with Articles 15 to 20 of the General Data Protection Regulation.

If you have concerns regarding the handling of your personal data, you have the right to file a complaint with the Information Commissioner of the Republic of Slovenia. The Information Commissioner’s office is located at Dunajska cesta 22, 1000 Ljubljana, Slovenia.

Documents Required

The following list of documents is not exhaustive, and the Mission may request additional information or documents from the applicant if necessary.

Both the standard and supporting documentation must be recent, not older than one month, and must be provided for every Schengen visa application.

Applicants are required to bring and present their original documents, but they only need to submit photocopies unless specified otherwise in the requirements.

Before gathering the necessary documents listed below, applicants are advised to review the requirements in the Overview section to ensure eligibility for the chosen visa category.

A completed and signed visa application form.

All sections must be filled out, and if an item is not applicable, please indicate with N/A. Please include your email address and contact phone number.

A valid national passport:

– Your passport must be valid for at least three months longer than the intended stay.
– Passports issued more than ten years ago cannot be considered for the application, regardless of their validity or extensions.
– The visa section of the passport must have at least two empty pages.

Proof of residency in the UK: A valid UK residence card is required. The residence card should remain valid for at least one month beyond the planned departure from the Schengen area.

Proof of Purpose of Travel – Family and friends visit:

1.Initiation through a Letter of Guarantee, duly authorized by the administrative unit in Slovenia, is required for the following:

  1. Accommodation-related documents such as hotel bookings or any other evidence demonstrating the ability to cover accommodation expenses.
  2. A copy of the data page of the passport or residence permit of the host in Slovenia, if the applicant plans to stay with someone.
  3. Proof of family relationship, if applicable.

 

Proof of travel arrangements: A comprehensive travel itinerary from departure to return, including roundtrip flight/train/bus tickets or any other evidence of intended transportation. If traveling by car to Slovenia, please provide vehicle and driver details (rent-a-car confirmation, proof of vehicle ownership, driving license), as well as ferry/Euroshuttle tickets if applicable.

Proof of employment / Proof of student status: A reference letter from your employer, stating your position and salary, or recent pay slips covering the last three months. Alternatively, a recent, officially signed letter from a UK school, college, or university, specifying dates of enrollment, expected completion of studies, applicant’s name, and type of studies.

If self-employed: A recent letter from an accountant, banker, or solicitor (official headed letter with the signatory’s name, date of issue, address, telephone number, position, and UK registration number) confirming self-employment or business ownership in the UK. Alternatively, a letter from the tax authorities can be provided.

Proof of sufficient financial means for the intended journey: Bank account statements for the past three months, clearly displaying the name and address of the account holder(s). Electronic printouts of statements are acceptable.

Medical Travel Insurance Document:

Applicants are required to provide proof of travel medical insurance with a minimum coverage of 30,000 EUR, which must be valid throughout the territory of Schengen member states. This insurance should cover any expenses that may arise in connection with urgent medical attention, emergency hospital treatment, repatriation for medical reasons, or repatriation of remains.

For applicants seeking a visa for one or two entries, it is essential to demonstrate possession of travel medical insurance that covers the entire duration of their stay in the Schengen area.

For those applying for a visa for multiple entries, it is necessary to prove possession of travel medical insurance that covers the period of their first intended visit. It is important to note that the insurance should only cover the actual stay and not the validity of the visa. However, in the case of multiple entry visas, insurance must be obtained for each trip to the Schengen area. Failure to provide proof of insurance at the border may result in denial of entry into the Schengen area countries. We recommend obtaining insurance coverage for a few extra days beyond the intended stay to account for potential flight delays or similar circumstances.

Please ensure that your insurance coverage letter meets all the requirements and clearly displays all the necessary information. Full policies will not be reviewed.

Please be aware that the insurance coverage letter is a mandatory document. Failure to provide the required medical insurance document will result in the rejection of the visa application.

Please note that holders of diplomatic passports are exempt from this requirement.

Photo Specification

Please ensure that you include a recent color photograph of yourself, taken within the last six months, adhering to the following specifications:

  1. Background: The photograph should be taken against a plain light background, preferably white or off-white. This will ensure that your features are clearly distinguishable and stand out against the background.
  2. Clarity: The photograph must be of high quality, with your face in sharp focus. This will enable us to accurately verify your identity.
  3. Facial expression: Please maintain a non-smiling expression in the photograph. Additionally, avoid wearing sunglasses, hats, caps, or any head covering, unless it is worn due to religious beliefs or ethnic background.
  4. Printing: The photograph should be printed on regular photographic paper, as obtained from a camera print. This will ensure that the image is clear and of suitable quality.
  5. Attachment: Please securely attach (glue) the photograph to the Visa Application Form.

In the event that the submitted photographs fail to meet these requirements, the visa application will be considered incomplete. In such cases, the applicant will be requested to obtain new photographs from the photo booth available at the visa application center.

Application Form

In order to obtain a Schengen visa for Slovenia, it is necessary for every customer to provide a signed printout of the online Schengen visa application form (VAF). To ensure a smooth process, customers must follow these steps:

  1. Begin by duly completing and printing the online Schengen visa application form, ensuring that the information matches the details on their passport.
  2. Click on the Schengen Visa Application form link provided, which will open the form in PDF format.
  3. Once the form is completed, select “File” on the Menu bar and choose the “Print” option.
  4. Once the form is completed, select “File” on the Menu bar and choose the “Print” option. Confirm the printing process to obtain a hard copy of the application form.
  5. After printing the online Schengen visa application form, the customer should proceed to the remaining steps.
  6. Sign the completed visa application form in the designated places, specifically at number 37 and right under the disclaimer at the end of the VAF.
  7. On the day of the appointment, the customer must bring the signed visa application form along with all the necessary supporting documents.

By following these instructions, customers can ensure that their visa application process for Slovenia proceeds smoothly and efficiently.

Processing Time

Applicants are welcome to submit their Schengen visa applications up to six months prior to their intended travel date to the Schengen Area. It is important to note that the minimum processing time for a visa application is 15 calendar days. Therefore, it is strongly advised that applicants allow ample time between their appointment date and travel date to ensure the Mission has sufficient time to process their application. However, it is important to understand that delays may occur, and there are no guarantees regarding the return date of the visa application.

For certain nationalities, the visa application may require consultation from other Schengen countries. In such cases, the minimum processing time may be extended up to a maximum of 45 calendar days. This is particularly true when further scrutiny of the application is necessary. To avoid any delays in the visa application process, it is crucial that the application is complete, and all submitted documents adhere to the Mission’s requirements. Please refer to the “Documents Required” section for specific visa categories.

Applicants should also be mindful that during peak seasons, such as Easter, summer holidays (July and August), and Christmas, appointment slots fill up rapidly. So, it is essential to secure an appointment well in advance.

Additionally, applicants must take into account that closures and holidays of Mission may further extend the processing time of visa applications.

Therefore, all applicants need to take the following steps to ensure a smooth and efficient visa application process:

  1. Promptly schedule an appointment as soon as travel plans are confirmed. This will help avoid any last-minute rush and ensure ample time for the necessary preparations.
  2. Thoroughly review and double-check all visa application documentation to ensure it meets the specific requirements set forth by the Mission. This attention to detail will help prevent any unnecessary delays or complications.
  3. Allow for sufficient processing time, taking into account any potential delays that may arise during the visa application process. By allowing for extra time, applicants can minimize any unforeseen setbacks and ensure a timely outcome.

For applicants submitting their visa application in Manchester or Edinburgh, it is important to note that an additional two days should be factored into the minimum processing time.

It is important to understand that the Mission reserves the right to request additional information or documents, as well as invite applicants for an interview, as part of the visa application process. While these requests may cause some delays, it is the responsibility of the applicants to comply and provide the necessary information promptly.
